Overview of accepted dated document formats in electronic form

a) text or combined text and image documents:

  • doc(x),
  • xls(x),
  • ppt(x),
  • txt – plain text,
  • rtf (Rich Text Format) – a proprietary, platform-independent storage format,
  • PDF/A, ISO 19005

b) image documents:

  • JPEG/JFIF, ISO/IEC 10918 — Joint Photographic Experts Group File Interchange Format,
  • TIF/TIFF, Revision 6 — Tagged Image File Format — Uncompressed,
  • GIF — Graphic Interchange Format,
  • PNG, ISO/IEC 15948 — Portable Network Graphics.

Types of portable technical data carriers on which documents are received in electronic form

CD ROM, DVD, USB, flash drive. The data carrier will only be returned upon express request, but only after the data has been processed.

Data messages (including document) - wrong formats, damaged, incomplete

Upon finding that the document including the data message in which it is contained

  • is incomplete
  • cannot be displayed in a user-perceivable way,
  • contains malicious code,
  • is not in the required data format (see above),
  • not on the correct technical support (see above)

and if the defect cannot be eliminated in cooperation with the sender, this data message will not be processed further.

Acknowledgment of data messages

  • the filing office confirms that the report has been delivered and forwarded to the file service by sending a report that must be signed with the hospital's electronic signature,
  • the registrar sends a notification of delivery no later than on the first working day immediately following the day of delivery,
  • if the sender does not receive a delivery confirmation message, it is likely that the message was corrupted and cannot be processed.
